About the Role
We are seeking a meticulous, organized, and experienced Assistant Deceased Estate Administrator to support the Estate Administrator in managing the full administration process of deceased estates. This role requires a sound understanding of estate administration procedures, compliance requirements, and the ability to manage multiple files simultaneously while ensuring regulatory deadlines are met.
Required Qualifications
· Matric / Grade 12 / National Senior Certificate
· Certificate in Deceased Estate Administration
· Experience & Competencies
· 3–5 years’ experience in a legal, estates, or fiduciary environment
· Strong technical knowledge of estate administration processes and legal compliance
· Experience using LegalEase software is highly advantageous
· Technologically savvy with working knowledge of:
Microsoft Office | Administrative systems and procedures | LegalEase or similar estate administration software
· Highly organized with exceptional attention to detail
· Self-motivated and target-driven
· Strong problem-solving skills related to estate administration challenges
Key Responsibilities:
· Assisting with all duties related to the administration of deceased estates
· Familiarity with the Master of the High Court procedures and compliance requirements
· Reporting of estates to the Master’s Office and other stakeholders
· Opening estate files and late estate bank accounts
· FICA: Collecting, verifying, and updating documentation for the estate, executor, and heirs
· Placing estate advertisements in line with legal requirements
· Obtaining confirmations of all assets and liabilities to assist with Liquidation and Distribution Account preparation
· Ensuring compliance and timely receipt of documentation from stakeholders
· Collecting proceeds payable to the estate
· Completing documentation for the transfer of assets
· Assisting with SARS processes, including estate duty submissions and audits
· Obtaining tax certificates for finalization of income tax assessments
· Preparing files for finalization
· Managing queries related to the Master’s Office, SARS, and FICA
· Handling multiple estate files efficiently and within compliance deadlines
